Clicking on the Bill Number takes you directly to the bill page, where you can access detailed information about the bill.

Credit Note

A new feature has been introduced to simplify the refund process for bills that are marked as Paid. This feature includes the Credit Note button added to the bill interface. You can easily find this button at the top of the page, directly to the left of the existing Download button. The Credit Note button serves as a gateway to initiate a refund process for clients, enabling the creation of a detailed credit note associated with the original bill.

Upon clicking this button, a dedicated panel will appear, presenting all relevant information linked to the corresponding bill.  Within this panel, you will find a detailed breakdown of all the timesheets and expenses related to the original bill.

Each timesheet or expense item is displayed in an organized format, making it easy for users to review and manage. On the right side of each timesheet entry, there is a trash icon that allows users to exclude specific timesheets or expenses from the credit note. By clicking this trash icon, the selected item will be removed, and the total amount of the credit note will automatically update to reflect the adjustment.

Once the necessary adjustments have been made—such as removing timesheets or updating the total amount—the user must click the Save button, prominently located at the top of the panel. Clicking Save finalizes the creation of the credit note and triggers the refund process.

Credit Note Number

A Credit Note Number is a unique identifier assigned to a credit note, which is a document issued to acknowledge a credit or reduction in an invoice amount for a client. It serves as a reference for both the issuer and the recipient for tracking and record-keeping purposes.

The Setting button next to the Credit Note Number allows users to configure how credit note numbers are generated and formatted. This is a customization feature that gives users control over the numbering system for their financial documents.

The Prefix customization feature enables users to specify a prefix (e.g., CN-) for the credit note numbers. This prefix helps categorize and differentiate credit notes from other types of documents, such as invoices or receipts. It ensures that credit notes are immediately recognizable and easily distinguishable within financial records.

The Next Number option allows users to set the starting number for the credit note sequence. For instance, if the next number is set to 00004, the subsequent credit note will automatically be numbered as CN-00005. This ensures that the numbering system remains sequential and logical.

Additionally, there is a Continue auto-generating bill numbers toggle that enables the system to automatically increment the credit note number each time a new credit note is created. This feature eliminates the need for manual input, reducing the chance of errors or duplicate numbers and saving time in the process.

The feature is also flexible, allowing customization to suit specific business or jurisdictional requirements. Lastly, it enhances efficiency, particularly in high-volume environments, by automating a repetitive task.
